All clubhouse rentals must be scheduled and approved in advance by Requesting your Event here.  If you have any questions, contact our rentals coordinator.

Notes:

• • Renters must be paid-up Club members and be an adult (age 21 and over).
  • Renter completes a Request to Schedule an Event here.
  • The renter must pay the deposit and rental rate before being placed on the schedule/calendar. First come, first serve.

• The maximum guest count for a pool party on the Weekends during the season (end of May to end of September) is 40 people total. We never close the pool for private parties. This maximum people total for pool parties ensures that our members as well as your guests have an enjoyable time. 
• The maximum occupancy for the clubhouse only event (when pool is closed) is 75 people (children included). This is a Fire Marshal requirement.
• Official Renter has priority on tables and grills.
• A member hosting 10 or more non-member guests, including adults and children, becomes an official renter.  These rules apply and a pool/clubhouse rental fee will be required, otherwise your non-member guests will be asked to leave.
• Any renter who assumes responsibility for an event must be present at all times during the event.
• The renter is responsible for arranging approved/certified lifeguards before the final Event booking. (Required for event with 20+ persons)
• The Meadowgrove Club, Inc. will not be held responsible for any injuries or accidents during this event.
• All Guests must park in the club parking lot, not by the clubhouse. Members can park by the clubhouse only to drop off supplies. This is a safety issue. There are only three reasons to park by the clubhouse:
  • Dropping off supplies for the event/cleaning after an event (Repark car after drop off)
  • Handicapped parking
  • You are the lifeguard on duty

Always leave enough room for emergency vehicles to park by the clubhouse.

Facility Rules and After Party Required Clean Up:

I understand and agree to the following:

• Clean-up must be completed within the reserved time. The Gazebo can only be reserved until 8:30 pm, Clubhouse until 9pm, Tennis courts until 10pm, no exceptions. The club will supply cleaning supplies including, but not limited to: hand soap, dish soap, floor cleaner, broom, dust pan, mop, and bucket. If further cleaning is required due to the renter’s negligence, a cleaning fee will be deducted from the deposit.
• All trash needs to be emptied in the clubhouse and around the pool deck and around the clubhouse. (For tennis courts – all trash by tennis courts and by picnic tables needs to be emptied) The host must take all club trash to the green cans on the far side of the tennis courts. Not behind the white fence. New bags need to be placed in the cans. You can find them in the closet beside the ladies restroom.
• All trash, decorations, food and drink items must be removed from the Clubhouse/Gazebo including the refrigerator, oven, entryway and restrooms. All bottles, cans, paper and other debris as a result of function must be removed from outside areas including parking lot.
• The Kitchen and Clubhouse, including bathrooms, will be placed in like or better condition after an event..
• Please do not put food down the kitchen sink drain. There is no disposal.
• Please do not leave any food or drink in the refrigerator.
• Please use cutting boards, do not cut on the countertop.
• An adult must be present when anyone under 13 is in the kitchen.
• Any tables/chairs moved will be placed in their original location. Picnic tables in the clubhouse during the winter can be moved outdoors but must be moved back after the event. The renter is responsible for any damage to tables and chairs during the time of rental.
• No pins or nails that would damage the walls or ceiling of the interior of the Clubhouse/gazebo will be used. All decorations must be removed. Confetti and candles are not allowed.
• No balloons are allowed on ceiling fans.
• Any tablecloths used will be wiped clean and placed in the closet.
• Missing items/messy clubhouse/pool area will result in loss of deposit.
• Failure to follow the above rules will result in a loss of deposit. 

I agree to be charged $100 if facility not in same condition prior to rental. Read full details.

I agree to be responsible for the condition of the Clubhouse/gazebo and/or pool after I have used it on the above date and to leave it in the same clean condition in which I found it. I further agree to be wholly responsible for the actions of all my guests and to forfeit my rental deposit and provide any additional payment for any repair, replacement, and/or cleaning necessitated by negligence and/or willful acts of my guests or myself. I understand that the MGC is a smoke/vape free facility. Smoking/vaping is only allowed off the fenced grounds. Only members are allowed to rent for events.

By reserving my party I agree to abide by all Facility Rules and all the above items.
